Partner with Us
Last updated: 16 September 2026. This agreement governs your use of the Kundasang Homestay platform as a host.
1. Introduction
By submitting a listing on Kundasang Homestay, you agree to be bound by this Host Agreement. This is a legally binding contract between you (the host) and Kundasang Homestay ("we", "us", "our"), operated by Nick's Creations.
Please read this agreement together with our Terms & Conditions, Booking Policy, Cancellation & Refund Policy and Privacy Policy.
2. Listing & Verification
- You must provide accurate, complete, and truthful information about your property, including photos, descriptions, and amenities.
- You consent to our verification process, which includes submission of a valid national ID (IC) and bank details, and a physical inspection of the property by our local team before your listing goes live.
- Your IC image and bank QR code are used only for verification and are deleted after your listing is approved. Booking, payout and tax records are retained for 7 years, as required by Malaysian law. See our Privacy Policy for details.
- You must keep your listing information (including availability, price, and house rules) up to date.
- Your listing must be a property you are legally entitled to let to guests.
3. Pricing & Commission
- You set the nightly price. You receive 100% of the room price you set.
- We charge no commission to you. Our service fee (11% + RM 1.00) is paid by the guest, on top of your room price.
- You may offer discounts or promotions at your own discretion, but you must ensure the displayed price is accurate.
- No exclusivity. You are free to list the same property on other platforms, and to take direct bookings. Please keep your calendar on our dashboard up to date so dates booked elsewhere are not double-booked here.
4. Payment & Payout
- Payments are processed by CHIP (FPX). The guest's payment is received by Kundasang Homestay and held until the guest's check-in is confirmed. Funds are then released to you by bank transfer.
- You must have a valid Malaysian bank account in your own name. The account holder name must match your legal name as per your IC.
- Payout timing. Payouts are normally processed within 1β2 business days after check-in confirmation.
- Confirming check-in. Enter the guest's 6-digit code in your dashboard to confirm arrival. Please do this on the day of check-in.
- If you cannot confirm check-in. If the guest does not arrive, or you cannot obtain the correct code, contact support@kundasanghomestay.my the same day. Do not leave a confirmed booking un-actioned.
- Guests who do not arrive. If the guest never checks in and does not contact you or us within 24 hours of the scheduled check-in time, the booking is treated as a no-show. On a no-show you are paid the room price in full, and Kundasang Homestay retains its service fee and gateway fee. See the Cancellation & Refund Policy, section 4.
- Emergency refunds. Where a guest never arrived, or asks to cancel, and provides evidence of a genuine emergency (medical, family, travel ban), we review the case ourselves using the facts you give us (was the guest in contact; was the night resold). If we approve it, the guest receives 50% of the room price and you receive the other 50%; we retain the service fee and gateway fee and absorb the RM 1.00 refund-processing fee. You do not decide these cases, because the refund is deducted from your own payout β which is exactly why we decide them. See the Cancellation & Refund Policy, section 5.
- Reversed payments. If CHIP reverses or claws back a guest's payment after we have already paid you, we will recover that amount from your next payout, or invoice you if there is no future payout.
5. Host Responsibilities
- Provide a clean, safe, and accurately described accommodation.
- Honour all confirmed bookings unless exceptional circumstances apply.
- Decide cancellations promptly, and explain yourself. A cancellation request is yours to decide β but you must reply within 48 hours, or within 6 hours if check-in is within 2 days. If you decline, say why. Never leave a request unanswered, discourage a guest from cancelling, impose conditions on a request, or ask a guest to pay you directly instead of cancelling β an unanswered or unreasonable refusal may be overruled by us, and where we overrule you, your payout follows the refund tier, not the full room price.
- Communicate promptly with guests, especially regarding check-in procedures and special requests.
- Respect the guest's privacy and comply with all applicable laws.
- Complete bookings and payments through the platform. Please do not ask a guest introduced by Kundasang Homestay to pay you outside the platform β the guest's payment protection depends on it.
- Maintain liability insurance for your property (recommended).
6. Cancellations
- If you cancel a confirmed booking, you must do so through your dashboard and choose the correct cancellation reason when prompted.
- Host-initiated cancellations. If you cancel for your own reasons (overbooking, maintenance, emergency), the guest receives a full refund β room price, service fee and gateway fee. Kundasang Homestay absorbs all the fees, including the RM 1.00 refund-processing fee, because the guest did nothing wrong. You receive no payout. Your listing may be reviewed or temporarily suspended if you cancel without justification.
- Guest-requested cancellations β you decide. When a guest asks you to cancel, they must give you a reason, and the decision is yours: you may accept or decline. You must reply within 48 hours, or 6 hours if check-in is within 2 days. If you accept, cancel the booking from your dashboard and we process the refund β you do not handle refunds yourself. If you decline, tell the guest and tell us why.
- If you decline, or do not reply. The guest may ask us to review your decision. We will contact you for the facts, and we can uphold your decision or overrule it. We will normally uphold a refusal you have explained reasonably. We are likely to overrule you where the guest's reason is a genuine emergency with evidence, or where you have been silent for more than 48 hours β in which case we issue the refund ourselves at the published figure and settle the amount with you separately, at the tier the refund follows. An unanswered request is not a decision.
-
What you are paid when a guest cancels. Where a cancellation goes ahead β because you agreed, or because we overruled you β payouts follow the same tiers the guest's refund follows, so a cancelled booking is not automatically an unpaid booking. The tier is fixed by when the guest first asked you:
- Tier A β the guest asked 14+ days before check-in: you receive RM 0.00. You kept two weeks to resell the room, and you were never holding it at short notice.
- Tier B β the guest asked 2 to 13 days before check-in: you receive 50% of the room price (RM 125.00 on a RM 250.00 room).
- Tier C β the guest asked less than 2 days before check-in, or on/after the arrival date: you receive the full room price (RM 250.00), exactly as you would on a no-show. The guest receives nothing at this tier, so there is nothing for us to overrule β unless the guest's reason is a genuine emergency with evidence, in which case we may approve the emergency outcome and your payout becomes half the room price.
- Why it works this way. A guest who is going to cancel should be able to tell you, and tell you early β that is how you get a chance to resell the room. If a late cancellation paid you nothing, guests would simply stop telling you, and you would be left with an empty room and a no-show instead. A late cancellation pays you the same as a no-show; an early one pays you nothing but gives you two weeks' notice.
- You may always be more generous. You can offer a full refund to a guest, or waive the fee, on any cancellation, from your dashboard. You can never offer less than the tiers above.
7. Relationship Between the Parties
- You list your property as an independent host. Nothing in this agreement makes you an employee, agent, or joint venturer of Kundasang Homestay.
- Kundasang Homestay accepts the guest's booking, collects payment, and pays you as its supplier. Accommodation is provided by you, and you remain responsible for the property and the stay.
- You are responsible for your own taxes, licences and regulatory obligations in respect of your property, including any tourism or local government requirements.
8. Data Protection
We process your personal data in accordance with our Privacy Policy and the Malaysian Personal Data Protection Act 2010 (PDPA). You consent to us storing and using your data for the purpose of operating the platform, including verification and payment processing.
9. Termination & Suspension
- We reserve the right to remove your listing or suspend your account if you violate this Agreement, provide false information, ignore or obstruct a guest's cancellation request, or receive repeated negative guest feedback.
- You may request to remove your listing at any time by contacting us, and there is no minimum term or exit fee. Upon removal, your data will be handled in accordance with our Privacy Policy, subject to legal retention requirements.
10. Governing Law
This Agreement is governed by the laws of Malaysia. Any disputes shall be subject to the exclusive jurisdiction of the courts of Sabah.
